Responsibilities:

  • Calendar and Inbox Management
    • Manage calendar and email inbox for Head of Global L&D, overseeing incoming/outgoing emails, making appointments and prioritizing the most sensitive matters
    • Organize team meetings and offsites, including scheduling, sending reminders, and documenting meeting minutes
    • Oversee the Global L&D team inbox ensuring manager and employee queries and requests are delegated to the correct team member and handled in a timely manner
    • Coordinate team Kanban updates ensuring team members keep each other up to date on all key team projects
  • Data and KPI Tracking and Reporting
    •  Monitor the impact of development & training activities and regularly report key metrics and participant data
    • Produce monthly reports on learning hours, Allianz U points, transition program attendance, global learning offerings and other learning and talent programs
    • Prepare  PowerPoint slides for monthly board updates
    • Prepare EXCEL reports for quarterly Strategic Capability Building updates for Allianz SE
  • Invoicing and Recharging
    • Manage communications with vendors of global learning and talent programs 
    • Create and process Purchase Orders and manage invoices related to global learning and talent programs, ensuring spend is within approved budget.
    • Manage recharging process to ensure participants cost centers are correctly charged for attendance to learning and talent programs
    • Provide update to team on current cost center profit / loss on monthly basis
    • Work directly with Ariba support team to answer vendors queries and follow up on vendor invoices for overdue payments
    • Manage Concur daily for tuition reimbursement expenses approval for North America. Field questions from employees regarding expenses, how to complete EdFlo, etc. 
  • Learning Administration
    • Collaborate with L&D Managers and vendors to schedule appropriate class dates for our global learning offerings, in-person and virtual
    • Manage the transition program nomination process for Navigator, Discovery, TDP and other ad-hoc talent development programs
    • Schedule and implement annual training calendar and roll out new initiatives in alignment with the global L&D approach
    • Manage course registration and logistics for all classes  and provide oversight and support to participants to ensure a seamless attendee experience, resolving any issues that arise
    • Follow up with managers on mandatory training programs (e.g. WOW moments, #LEAD etc.) to ensure all participants complete programs to achieve AGCS agreed PD/SD commitments
  • Talent Administration
    • Assist and help preparing talent discussions on a global level, by preparing PPT decks with up to date talent cards
    • Support talent managers to pipeline of potential internal and external candidates for leadership and critical roles, by coordinating with global managers and HR BPs to maintain up to date profiles in Success Factors
    • Follow up on  actions and  commitments made 
    • Maintain the talent pool lists for Top 300 and Top 70 talents
    • Contribute to global projects around Talent Management and Talent Attraction
    • Support the continuous optimization of Talent Management and Talent Attraction processes
  • Global Learning & Development Communications
    • Work with L&D Managers within HR and across AGCS Academies to propose monthly newsletter contents and format
    • Create monthly newsletter by collecting content from key stakeholders in timely manner each month
    • Ensure translation to German is complete and included in each delivery
    • Manage all email distribution globally for delivery
    • Ensure appropriate updates are made to Global L&D Connect site, with the latest learning and talent programs
    • Lead on other team communications via Connect or other appropriate means

 

 

Requirements:

 

  • Education Level: Education / Certification
  • Bachelor Degree: Two-year degree or equivalent work experience required
  • Length of Experience: Type of Experience (max. 5)
  • Minimum 3 to 5 years: 4+ years of administrative experience required; 6-7 years of experience preferred 
  • Minimum 1 to 3 years previous experience partnering with senior management in a fast paced, innovative environment
  • Technical expertise in HR topic area (e.g., Comp/Ben, PM, Learning, Controlling, Grading, Recruiting)
  • Project Management: from individual task management to process steps for regional projects
  • Knowledge of local/regional employment law, as required for the role
  • Expert: Organization: Ability to manage multiple priorities and demands; meet deadlines, identify obstacles and solutions, and achieve desired outcomes
