We are looking for a Personal Assistant (m/f/d) to the Chief Actuary on a full-time or part-time basis (80%) and based in Munich.
 
Your Team 
The Global Actuarial Reserving team is part of the Chief Finance Office Function at Allianz Commercial. It is responsible for setting the right level of reserves to pay current and future insurance claims. You will join an international department located across Munich, Hamburg, Zurich, London and Chicago.

 

The Impact You Will Have 
You will play a pivotal role in the organization of the Actuarial department at Allianz Commercial. Your focus on delivering efficient and responsive administrative, organizational and logistical services to senior managers will enable them to concentrate on strategic initiatives. By adeptly handling delegable tasks and actively participating in crucial projects requiring the manager's office involvement, you will significantly contribute to enhancing overall team effectiveness and ensuring seamless workflow. Your impact will be felt through streamlined processes, heightened support, and an empowered team environment.

 

Some of your specific responsibilities could include:

  • You will efficiently manage the busy schedule, calendar commitments, and international travel arrangements for the manager, including flights, hotels, visas, and personal bookings.
  • You will interact with other senior managers internationally, handling urgent last-minute tasks and ensuring effective coordination.
  • You will filter and organize emails, highlighting urgent correspondence, printing attachments, and maintaining confidentiality of email content, attachments, and calendars.
  • You will serve as a representative for the manager's office, managing (urgent) queries, phone calls, and calendar invitations appropriately.
  • You will coordinate with individuals and external organizations to arrange meetings, prepare agendas, and draft minutes.
  • You will contribute to and coordinate ad-hoc projects and initiatives for the manager's office, such as workshop preparations, budgeting topics, and Allianz Engagement Survey (AES) action items.

 

What You’ll Bring to the Role

  • Professional training or a degree in Business Administration/Office Administration
  • Demonstrable experience in an administration/assistant role in an agile environment, requiring tact, judgment, and discretion in handling internal and external contacts
  • Exceptional organizational and time-management skills
  • Experience in diary management, researching, and booking travel and accommodation
  • IT skills, including proficiency in Office applications (PowerPoint, Excel, Word) and in business applications used at Allianz Commercial (e.g. SAP, ARIBA) is an advantage
  • Administrative management expertise
  • Excellent verbal and written communication skills, with the ability to provide practical solutions based on a broad understanding of relevant factors
  • Fluent English and German skills are required
  • Strong interpersonal skills with a high level of tact, judgment and discretion
  • Proactive and resourceful problem-solving approach
