As a Management Assistant, you will provide essential support to a member of our Executive Board, handling a variety of administrative and organizational tasks. Your role will be crucial in ensuring the smooth operation of daily activities, optimizing time management, and facilitating effective communication. You will act as the first point of contact, managing confidential information with discretion and professionalism. The position requires being in the office in Brussels 2 to 3 days a week.

What will you do?

 

  • Executive Assistance: Coordinate and support a Board of Management member administratively and organizationally, optimizing their daily schedule and tasks.
  • Administrative Tasks: Prioritize and organize all incoming and outgoing digital and physical information and correspondence. Independently handle simple requests and tasks, including phone contacts, agenda management, and invoicing.
  • Meeting Preparation: Responsible for preparing, drafting, and providing meeting documents, including taking minutes, creating presentations, spreadsheets, and memos.
  • Agenda Management: Manage the agenda, organize meetings and events, and arrange travel services.
  • Leadership Role: Fulfill a leading role in multidisciplinary meetings, preparing complex matters by proactively providing additional information and making suggestions.
  • Process Oversight: Ensure the correct execution of processes and draft improvement proposals.

Bachelor diploma in business administration or related field? Check! Experience as management assistant in a dynamic organization? Check! Strong interest in supporting (senior) management? Check! Independent organizational talent who values discreteness and has the ability to prioritize requests effectively? Check! Strong communication skills, both oral and written? Check! Fluency in English, French and/or Dutch? Check! Proficiency in common Microsoft Office applications (Word, Excel, PowerPoint)? Check! A background or interest in the Life & Health insurance industry is considered a plus.
