  • Job Purpose/ Role

    The function holder represents the interests of the Country Manager and serves as a communication interface/link for the in- and outgoing information of the Country Manager office and especially for communication with the respective local managers as well as regional managers, as appropriate. The Executive assistant ensures that the Country Manager can focus on buisness+relationship development and strategic matters by processing delegable tasks. The function holder also participates in important projects where involvement of the Country Manager office is necessary. The position holder is typicalle the Executive Assitant of a Regional / Country CEO.~crlf~ ~crlf~Focus on improvement: IT skills, organization, simplification, efficiency, communication, etc.

  • Key Responsibilities

    Daily business and travel management~crlf~##Manage and maintain the Country Manager’s schedule and email account, filter emails, highlight urgent correspondence, and print attachments. ~crlf~##Ensure busy diary commitments, papers, and travel arrangements (flights, hotels, visa, personal bookings) are managed effectively including producing a daily folder with diary, action and status list, necessary papers, etc. and troubleshooting problems.~crlf~##Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place~crlf~##Handle interaction with and support to other senior Country Managers on a local and international basis as well as urgent last-minute tasks.~crlf~ ~crlf~Business support~crlf~##Represent Country Manager's office regarding (urgent) queries, phone calls and calendar invitations by redirecting, screening, or taking forward such contact as appropriate. ~crlf~##Correspond and commission work on Country Manager's behalf~crlf~##Carry out researches and present findings to Country Manager, ensuring Country Manager is well-prepared for meetings, writing reports, presentations, and other documents. ~crlf~ ~crlf~Interface function - Preparation and follow up of meetings and other events~crlf~##Coordination and cooperation with all other Allianz entities and countries~crlf~##Preparation, liasion, participation and follow-up of business visits, townhalls, and meetings~crlf~##Preparation of presentations, agenda, and taking of minutes during meetings~crlf~##Pre-screening of presentations and other documents addressed to the Country Manager and sharing with relevant areas to ensure communication flow. ~crlf~ ~crlf~Planning and coordination for project, or ad-hoc work~crlf~##Plan, coordinate, take ownership and organize projects and initiatives for Country Manager's office.
