Personal Assistant / Team Assistant (m/f/d) to the Chief Actuary

The main responsibility of this role is to provide an efficient administrative and organizational support to the Chief Actuary and her global CFO Actuarial team. Team assistant´s tasks go beyond the administration-related assignments only and include responsibilities for department cost monitoring and budgeting, management of Actuarial IT infrastructure related issues and support in various specific and ad-hoc projects where involvement of Actuarial department is necessary. He/She is a pro-active team communicator and strongly contributes to collaboration culture building in the team.~crlf~ ~crlf~Based in Munich, you will work closely together with a diverse team and provide efficient and responsive administrative, organisational, and logistical service to the Chief Actuary. You will ensure that the manager can focus on strategic matters by processing delegable tasks. You also participates in important projects where involvement of the manager's office is necessary.

In this role you will…~crlf~##Ensure busy schedule/calendar commitments, documents, and (international) travel arrangements -- flights, hotels, visa, personal bookings -- are managed effectively. This often includes interaction with other senior managers on an international basis as well as urgent last-minute tasks.~crlf~##Filter emails, highlight urgent correspondence, and print attachments. Maintain the manager’s schedule and email account. Content of e-mails, attachments, and calendars are routinely confidential.~crlf~##Represent manager's office regarding (urgent) queries, phone calls and calendar invitations by redirecting or taking forward such contact as appropriate.~crlf~##Liaise with relevant individuals, external organizations etc. to arrange meetings, prepare agendas and draft minutes.~crlf~##Contribute to / coordinate ad-hoc projects and initiatives for manager's office. This can include workshop preparations/minutes, Allianz engagement survey (AES) action items, following up actions, etc.~crlf~##Monitor department cost and budget, as well as manage Actuarial IT infrastructure related issues.~crlf~##Undertake any other duties as requested by manager.~crlf~

##You have a university degree in Business Administration, Economics, Finance or related field~crlf~##Demonstrable experience in an administration/executive assistant/PA role in a highly pressurized environment requiring tact, judgment and discretion~crlf~##Proven experience of analyzing complex information and drawing appropriate conclusions~crlf~##You are an excellent communicator to a variety of stakeholders, including senior management~crlf~##Good prioritization skills and the ability to manage organizational tasks smoothly~crlf~##You are proactive with a solution-oriented mind and the ability to drive topics forward~crlf~##Proficiency in MS Office (Word, Excel, PowerPoint) and in business applications used at AGCS (e.g. SAP) is an advantage~crlf~##High level of confidentiality~crlf~##Fluent in English (both verbally and in writing). German is beneficial but not mandatory~crlf~
