Job Role
We are looking for a highly organized and personable individual to serve as the first point of contact for our organization. The Receptionist/Administrative Assistant will manage the front desk, provide administrative support, and ensure smooth day-to-day operation of the office. To be successful in this role, you will need excellent written and verbal communication skills, as well as competency in Microsoft Office applications such as Word and Excel. Prior experience as a receptionist is also helpful.
Responsibilities

Greet and welcome guests as soon as they arrive at the office

Direct visitors to the appropriate person and office

Answer, screen, and forward incoming phone calls

Ensure that reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)

Provide basic and accurate information in person and via phone/email
-
Receive, sort, and distribute daily mail/ deliveries
-
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

Maintain and update records, databases, and filing systems.

Order front office supplies and keep inventory of stock

Update calendars and schedule meetings

Work with the rest of Workplace and Facilities team to deliver great customer service

Proven work experience of at least 2 years as a Receptionist, Front Office Representative, Hospitality industry or similar role

Proficiency in Microsoft Office Suite

Hands-on experience with office equipment (e.g. fax machines and printers)

Solid written and verbal communication skills

HSC holder; additional certification in Office
