Conga CLM Administrator - Process Developer/AM

JOB DETAILS / ROLE PURPOSE:
The sales support team is in charge of fostering profitable growth in the local Business Units and Global functions, supporting Sales function via better tooling, processes and training. The Sales Support Team is the home of the “Salesforce” application as the collaboration tool for Sales with adjacent functions, such as Legal, Compliance and Underwriting.
The person would be responsible for a variety of tasks to support the roll-out and maintenance of Conga CLM (Contract Lifecycle Management Tool). The person would report to Manager in Financial Shared Services (FSS) and take direction from a Manager in Global office. This is a global role so the candidate would be supporting the Europe, US, WELAM and APAC regions. Conga CLM is integrated with ‘Salesforce’ application. So, the person will also work closely with the Salesforce administration team (part of Global Sales Support team).
KEY RESPONSIBILITIES:
- Provide Conga CLM support to the sales lead entities onboarded to the Conga CLM solution.
- Configuration and maintenance of templates in Conga CLM system.
- Maintenance of clause library in Conga Contract Lifecycle Management system.
- Manage change requests for updates needed to templates/clause library and implement required changes.
- Maintain records of changes, version control.
- Salesforce user account creation, managing access rights and permissions.
- Basic Salesforce configuration e.g., updating of queues, updating of approvers in approval workflow, updating of Guidance for Success.
- Creating/updating reports and dashboards in Salesforce/Conga CLM.
- Running reports and performing searches in Conga CLM.
- Maintenance of list of Conga CLM users with BU allocation (to support license recharge).
- Collecting and recording change requests.
- Collecting user challenges and change requests and thus, recommending improvements of functionalities to business owners and discussing technical implementation and observed issues with Conga.
- Perform tool administration to ensure Conga CLM solution use in local Business units and global/regional functions, managing access rights of users and deploying small changes, as well as monitoring the actual utilization of licenses.
- Tool parametrization (adapting contract creation process, approval process workflow, rule creation, fields changes, template upload/update and configuration, update of clause library, report creation, dashboard updates) in very close collaboration with the respective lead business owner
- Support users in case of questions, help request on any function of the tool (e.g., reporting creation, …)
- Organize workshops, gather user feedback and propose evolutions based on these feedbacks, to be implemented as part of administration topics or expansion.
- Perform adhoc local training/demo in case of new deployment, new users or specific request of country.
PROFILE KEY REQUIREMENTS:
- Proven experience in Salesforce and Conga CLM (at least 3 years).
- Experience with implementing pragmatic and workable solutions.
- Experience working in a B2B or B2B2C Legal and/or sales environment within a multinational/global organisation.
- Exposure and experience in project management implementing and driving change.
- Experience interacting within a matrix organisation.
- Experience with coaching, training and developing user teams to optimise the use of Conga CLM and/or Salesforce.
- At least 3 years of experience, preferably as a project manager, preferably in Finance, Legal, Compliance or Organizational Management.
- Ability to undertake initiative and deliver quality results often with competing deadlines.
- Ability to work independently and autonomously yet still displaying strong team work ethics and attributes.
- Strong analytical, process management, structural thinking and implementation skills.
- Thorough understanding of business and financial implications of technical analysis.
- Strategic thinking and tactical problem solving; frame issues and create effective plans for execution.
- Strong professional presence, excellent interpersonal skills with ability to manage relationships both internal and external.
- Advanced verbal and written communication skills, high attention to detail is essential.
- Ability to prioritise tasks and meet set deadlines.
- Advanced working knowledge of Microsoft Excel, Word, PowerPoint, SharePoint, Teams and Power Automate as well as affinity and flexibility towards the use of different digital tools and programs.
- This is a global role where the candidate would be supporting the Europe, WELAM, US and APAC, so dealing with time zones will need to be managed.
- Everything will be done in English so a high level of verbal and written communication in English is mandatory.
- Additional Language (Not Mandatory): French, German or any other foreign language.
