Job role

 

We are looking for an enthusiastic and experienced Internal Communications and Operations Specialist with strong strategic focus, exceptional organizational skills, and an analytical approach to join our dynamic team.

 

As an experienced member of our Communications and Reputation Team, you will play an important role in shaping and executing our community engagement strategy, fostering meaningful connections, and driving brand advocacy. As part of the role, you will be in touch with the head of the Communication and Reputation Team, assisting with the implementation of the strategy and framework of the team.

What you will do


 Operations: 

  • Supports the planning process, provides an overview of personnel changes, supports operations requests and projects and monitors implementation
  • Adjusts and updates the communication plan regularly
  • Contributes to change management strategies
  • Ensures the team runs smoothly in the areas of organization, people and structure and works with the Head of Communication on projects

 

 Prepares Strategic Presentations: 

  • Crafts compelling presentations that effectively communicate strategic initiatives and business plans to stakeholders at all levels incl. C-Level presentations for the Head of Communications and Reputation

 

Communications: 

  • Aligns on communication actions.  Coordinates with the Communications and Reputation team to ensure consistent messaging and timing of corporate communications and to present and maintain a positive image internally.
  • Helps promote the communication strategy and plan and implement internal communication strategies about content, tools, channels, timelines, etc. 
  • Manages internal communication actions within the team, upon request.

 

Organizes Virtual Meetings: 

  • Plans and executes virtual meetings  for core leadership team of Communications and Reputation Team, in terms of content: agenda preparation, call moderation, follow-up, post-event summary, materials, presentations, etc. 

 

Manages Internal Communities (for Communicators): 

  • Oversees community management activities for the Communications and Reputation team to foster engagement and communication within the company. 
  • Develops and distributes templates and materials on various communication channels. 
  • Monitors and responds to community feedback, ensuring timely and appropriate follow-up. 
  • Manages and constantly improves communications processes to ensure smooth running and more effective results. 
  • Prepares agendas, takes minutes, and follows up on action items to ensure completion. 

 

Organizes Learning Programs (online):

  • Cultivates a continuous learning mindset through all interactions with the community members. 
  • Develops and manages virtual learning programs tailored for the Communications and Reputation team, enhancing their skills and knowledge in alignment with company goals. 
  • Tracks and reports on the progress and effectiveness of learning programs.

 

Innovation: 

  • Stays updated on industry trends, best practices, and new technologies used in communication to continuously enhance experiences offered through communication actions. 
  • Innovation ideas and new formats for communication campaigns are expected. 

 

 

What you bring

 

  • Bachelor’s degree in Communications, Journalism, Marketing, Business or related field 
    • Fluent English written and spoken; German language is a plus 
    •Strong Knowledge of Office 365 apps, with a plus for PowerPoint presentations skills design 
    • Knowledge of communication platforms and channels  
    • Relevant work experience in e.g., communications, social media, PR, administrative role etc.  
    • Over 5 years’ experience within an international company  

 

You have

  • Enthusiasm and positivity
  • Proven experience in a similar role, supporting C-level executives.
  • Strong proficiency in office technology and software, including virtual meeting platforms.
  • Experience with a wide range of digital communication tools and channels.
