Senior Personal Assistant (m/f/d) to Global Head of Legal – Limited contract based in Munich
In this role, you will provide an efficient and responsive administrative, organizational and logistical service to the Global Head of Legal, helping to manage and prioritize time. You will ensure that the Global Head can focus on strategic matters by processing delegable tasks. This also includes providing support to the Head of the Global Corporate Governance team and other managers of the Legal and Compliance teams. You will participate in important projects where involvement of the Senior Executive's office is necessary and provide input and support with corporate secretarial tasks.~crlf~ ~crlf~This position is on a limited basis until 30th April 2022 with possibility of extension.
##Ensure busy diary commitments, papers, and travel arrangements (flights, hotels, visa, personal bookings) are managed effectively ~crlf~##Filter emails, highlight urgent correspondence and print attachments. Manage and maintain the executive's diary and email account~crlf~##Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for manager~crlf~##Filter general information, queries, phone calls and invitations to the executive by redirecting or taking forward such contact as appropriate~crlf~##Liaise with relevant individuals, external organizations etc. to arrange meetings, prepare agendas and draft minutes~crlf~##Provide logistical and other support for the performance of Corporate Secretarial activities.~crlf~##Undertake any other duties as requested by the manager~crlf~##Extract, compile and analyze cost center reports from SAP~crlf~##Work in close contact with Procurement and update the Intranet site if needed ~crlf~
##Bachelor Degree or equivalent~crlf~##Demonstrable experience (at least 3 years) in an administration/executive assistant/PA role working under tight timelines and requiring tact, judgment and discretion~crlf~##Experience of diary management/researching and booking of travel and accommodation~crlf~##Advanced IT skills (Office applications): Use general office application tools e.g. Power Point, Excel, Word would be ideal~crlf~##Ideally: Experience extracting, compiling and analyzing cost center reports from SAP and also working with the AGCS Procurement System (IBX) and Intranet (Connect). ~crlf~##Excellent communication and presentation skills~crlf~##Strong prioritization skills~crlf~##Good analytical skills ~crlf~##Fluent skills in German and English are required.~crlf~
