Are you interested in joining our adventure by becoming a Team Assistant based in our Singapore office?

 

 

This is an entry-level position and job holder is required to provide an efficient and responsive administrative, organisational, and logistical support to the Head of Department (HOD)s and Asia Pacific CEO Office based in Singapore. The Team Assistant ensures that the HODs can focus on strategic matters by processing delegable tasks such as Travel Booking, Workshop Support and Expense Management.

 

Key Responsibilities

  • Provide secretarial support in arranging and organizing meetings, booking rooms and taking minutes where required.
  • Ensure that the travel schedule (flights, accomodation, visa, personal bookings) of the HODs are managed effectively by coordinating with relevant individuals and external organisations on the arrangements. 
  • Support HODs on their expense reimbursement matters and invoicing.
  • Undertake any other ad-hoc duties as requested by the CEO and HODs. 

 

Key Requirements/Skills/Experience

  • Type of Experience: 
    • Demonstrable experience in an administration/assistant role in a highly pressurised environment requiring tact, judgment and discretion in handling internal and external contacts is advantageous
    • Experience of diary management/researching and booking of travel and accommodation
  • Technical skills:
    • Proficency in general office application tools e.g. Power Point, Excel, Word
    • Administrative Management
  • General skills:
    • Communication skills: Clearly and effectively express ideas and messages via speech and writing
    • Presentation skills: Effectively express and display thoughts and ideas visually, using various tools
    • Analytical Skills: Ability to effectively absorb information from various sources, then analyze, study or examine data in detail, and draw appropriate conclusions
    • Prioritization: ability to filter information, assess priorities and work independantly
  • Education / Certification:
    • Min. Diploma in Business, Economics, or other related fields
  • Languages:
    • English (Fluent)
    • Local language (Advantageous)
