What you do
- Administration of ARIBA for AZ Trade
- Ensure specific data related to AZ Trade are created or ask for creation to S2C team (AZ team on ARIBA), as new legal entities, business owners or buyers if needed
- Follow regularly AZ trainings related to ARIBA evolutions (tool or processes)
- Ensure regular update of users/buyers in ARIBA with AZ Trade OES and with AZ
- Authorization rules: maintain list of persons or groups of persons having access to the contracts created (in consultation, or for creation/modification)
- Ensure Master data for a contract is created (vendors)
- Check vendor (with screening) is created in ARIBA (status “fully qualified”). If not, ask for buyer to launch the vendor creation in ARIBA and keep you updated.
- Chase buyers every week to ensure vendors are created as strategic vendors (with a vendor screening). Contracts cannot be managed without this step.
- Create a contract in ARIBA
- Collect information and documents related to contracts > 250K€ with external providers in EHCD (AZ Trade current database).
- Check data quality, and that all information is OK. If not, chase buyers to get all the information before contract creation in ARIBA
- Create a new contract (included amendments are considered by AZ as new contracts to be created)
- Update ARIBA contract coversheet, and persons names that can access the contract in AZ Trade.
- Follow up on contracts validation (Head of procurement >250 K€, and other persons> 1 M€) and on S2C team review ( quality control gate for contracts > 250 K€), and answer questions/correct data after collecting information in AZ Trade (buyer or Group Procurement according to the question) in case of questions during the quality control gate.
- Modify a contract in ARIBA when requested
- Archive/terminate contracts in ARIBA
- Extract contracts that will end on a monthly basis and inform buyers the contract will end
- Terminate contracts in ARIBA in February, of the year N+1 , after their end date
- Monitor contracts created in ARIBA
- Build and extract reports from ARIBA (for recurring questions on contracts, activity follow up and KPIs)
- Follow up with Group procurement & KPIs (steering of the service)
What you bring

- Responsiveness and capacity to adapt to the numerous and various requests
- Experience in working in a global environment
- Good interpersonal and communication skills
- Fluent English (French is a plus)
- Experience in procurement, purchasing, or supply chain management is a plus
- Experience working with procurement software and systems, such as SAP Ariba, Oracle, or similar platforms is a plus.
