Personal Asstant (m/f/d) to Head of Group Audit in full-time or part-time (Job Sharing)

Job Purpose / Role

If you are a creative, highly-motivate problem-solver and miracle worker with excellent organizational and time management skills, able to thrive in a fast-paced working environment, we have the perfect job for you! We are looking for a Personal Assistant to manage the office of the Global Head of Internal Audit and to ensure the smooth running of our diverse and highly engaged team of auditors and professionals.  


Key responsibilities

  • Manage and maintain diary and e-mail account effectively
  • Organize and coordinate travel and accomodation requirements and procesing the expenses
  • Organize and manage internal events (offsites, international meetings etc.)
  • Peruse and filter correspondence, queries, phone calls and invitations by redirecting to responsible managers or taking them forward as appropriate
  • Perform corporate secretarial activities
  • Process incoming invoices (verification, approval, payment)
  • Manage on-boarding and off-boarding of team members
  • Manage visitors
  • Create and prepare PowerPoint presentations and Excel spreadsheets
  • Maintain internal distribution lists 
  • Manage Audit House related issues (IT, facilities, access,supply)
  • Manage quality asssurance and distribution of audit reports and other engagemet related documentation
  • Actively seek out new ways to maximize efficiencies, reduce bottlenecks and improve admin support
  • Carry out other ad hoc tasks, special projects / assigments 


Key Requirements /Skills/Experience

  • Previous working experience as Personal Assistant for at least 6 years 
  • Comfortable with working under tight timelines and handling a variety of tasks
  • Profound experience with diary management
  • Discretion and confidentiality
  • Pro-active problem-solver
  • Advanced IT skills (Office applications, Teams, WebEx, Slido etc.)
  • Excellent communication skills
  • Outstanding organizational, time management and prioritization skills
  • Highly motivated and enthusiastic about providing an excellent service to internal customers
  • Keen to learn and develop
  • Flexible and adaptable
  • Strong interpersonal skills - assertive, efficient, positive and approachable
  • Fluent in spoken and written English and German
