Key responsibilities:

 

  • Filter general information, queries, phone calls and invitations to the board member by redirecting or taking forward such contact as appropriate
  • Liaise with relevant individuals, external organizations etc. to arrange meetings and prepare agendas
  • Ensure busy diary commitments, papers, travel arrangements (i.e. flights, hotels, visa, personal bookings). Travel expense reports are managed effectively including troubleshooting problems
  • Coordinate travel and accomodation requirements in connection with others and ensure arrangements in place for the board member
  • Gift & Entertainment Reporting (Compliance) as well as accounting
  • Organisation of offsites
  • Compile and prepare reports and presentations
  • Provide administrative support for Direct Reports of board member
  • Review and approve travel expense reports of Direct Reports of board member
  • Undertake any other duties as requested by the board member
  • Substitute for the Personal Assistant of ARE CEO

 

To be successful in the role:

 

You will have...

  • Commercial education, ideally a Bachelor's degree or secretarial qualification 
  • At least 5 years' working experience in an administration/executive/assistant/personal assistant role in a highly pressurized environment requiring tact, judgement, and discretion
  • Experience in dairy management/researching and booking of travel and accommodation
  • Relevant working experience in a large organization in an international environment
  • Proficient at Office (i.e. Outlook, Word, Excel, and PowerPoint)
  • Excellent ability to prioritize and anticipate needs
  • Ability to work autonomously, but also to be a great team player
  • High level of confidentiality
  • Very good communication skills, precise written skills and an eye for detail
  • Fluency in German and English is required

 

Ideally you will also have...

  • Fluency in French
  • Good understanding of the insurance industry and/or real estate is highly beneficial
