Key responsibilities:


•    Filter emails, highlight urgent correspondence, manage and maintain the Board Member's diary and email account. Content of e-mails, attachments and calendar information are routinely confidential

•    Filter general information, queries, phone calls and invitations to the board member by redirecting or taking forward such contact as appropriate
•    Liaise with relevant individuals, external organizations etc. to arrange meetings and prepare agendas
•    Contribute to / coordinate ad-hoc projects and initiatives for the Board Management Office. This can include workshop preparations / minutes, Allianz Engagement Survey (AES) action items, etc.
•    Ensure busy diary commitments, papers, travel arrangements (i.e. flights, hotels, visa, personal bookings) are managed effectively including troubleshooting problems
•    Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the board member
•    Undertake any other duties as requested by the board member


To be successful in the role:

 

You will have….
            
•    Commercial education, ideally a Bachelor’s degree or secretarial qualification
•    At least 5 years’ working experience in an administration/executive assistant/personal assistant role in a highly pressurized environment requiring tact, judgement, and discretion
•    Experience in diary management/researching and booking of travel and accommodation
•    Relevant working experience in a large organization in an international environment
•    Proficient at Office (i.e. Outlook, Word, Excel and PowerPoint)
•    Excellent ability to prioritize and anticipate needs
•    Ability to work autonomously, but also to be a great team player
•    High level of confidentiality
•    Very good communication skills, precise written skills and an eye for detail
•    Fluency in German and English is required

 

Ideally you will also have…


•    Good understanding of the insurance industry and/or real estate is highly beneficial
•    Strong analytical skills
•    Excellent presentation skills
