Job Purpose/Role

 

AGCS Office Services & Facilities Management (OSFM) is responsible for AGCS office locations and operational /workplace support services worldwide. Our objective is to create a high quality and safe office environment for our colleagues while supporting our new hybrid working models and minimizing premises costs.

 

Located in Hong Kong, you will be responsible for managing internal stakeholders, third party service providers and vendors so that our objectives are met. You will also work closely with our global OSFM colleagues to develop and implement global office service management practices and workflows. You will report to the Senior Manager of global OSFM and our Singapore OSFM Manager.

 

Key Responsibilities

 

Facilities Management / Operational Support
Implement and maintain a safe and pleasant work environment for the organization. Manage and optimize vendors accordingly so that key services/goods are performed/delivered within expectations. Coordinate and/or manage changes and developments in the provision of workplace support. Be the key point of contact and management of our third party service providers and vendors, ensuring SLAs are delivered in line with expectations. Define, interpret and review Service Level Agreements and Key Performance Indicators (KPIs) with both vendors and internal stakeholders and ensuring effective communi cations with the relevant parties. Meet all safety and health obligations and optimise service provision while containing and minimising costs. Procurement: Work on and/or Co-ordinate an efficient, cost effective procurement process and effectively manage vendors for non-IT commodities/services, including premises/facilities and AGCS own insurance program. When requested, leverage suppliers/spend across AGCS globally and with other Allianz OE’s.

 

Budget/Financial Management
Coordinate the management of the budget, actuals, cost centers and/or key performance indicators within established targets. Continuously identify and drive cost savings opportunities and efficiencies. Work closely with Finance/Accounting on items including accounting treatments, depreciation, accruals, and actuals against plan. Manage the utilization and spend so that results contribute towards the corporate environmental objectives and targets. Seek opportunities to improve service while containing costs.

 

Process Management
Manage and participate in global departmental initiatives, innovations and reporting requirements. Translate and support the introduction of new global processes and systems as well as the continuous improvement in effectiveness and efficiency of all processes and systems. Actively drive forward continuous improvement. Support the implementation of hybrid working models.

 

Business Continuity
Work with all relevant teams for national, regional and global business continuity planning and administration while supporting global directives. Manage the regional OSFM continuity plans and recovery efforts when emergency events occur. Collaborate with other departments on the Disaster Recovery Plans and contingency plans. Identify key systems/personnel where back up plans need to be developed. Ensure that personnel are familiar with the business continuity plans and their responsibilties. Oversee the Health and Safety requirements.

 

Key Requirements/Skills/Experience

  • You have 3 to 5 years’ professional experience in a business-to-business Facilities Management role (for the landlord or client party).
  • You have managed third party service providers and vendors.
  • You have technical knowledge of building services and of general office equipment.
  • Excellent communication and collaboration skills, demonstrating motivation and initiative.
  • You have solid knowledge of budgetary, financial planning or cost controlling, and “procure to pay” systems ideally using SAP Ariba.
  • Digitally minded, you embrace innovation and new technologies.
  • You have problem solving skills and are able to manage multiple and competing priorities.
  • Able to adapt in a changing global and local environment. Demonstrated ability to look at issues from multiple perspectives.
  • Fully conversant with Microsoft Office software packages (including Outlook, Excel, Word and PowerPoint) and Microsoft Teams.
