Job role

The Insurance Operations department oversees the portfolio of brokers / clients and the insurance contracts for our insurance lines. We are committed to deliver state of the art end to end customer service, starting by capturing and processing policy information, from submissions through to billing and collection. We pride ourselves on delivering excellent customer service and operational effectiveness for our clients.

Reporting to Global Business Operations (GBO) manager, your primary responsibility will be to provide an efficient administrative and processing service to our clients, underwriting and our local entities abroad, accounts, claims, credit control and our brokers for our various lines of businesses.

What you will do:

  • Pre-binding Support: Assist Underwriters with various tasks before the policy is bound. Gather and prepare necessary information and documentation for underwriting evaluation. Coordinate with stakeholders to ensure all requirements are met before policy issuance.
  • Sanctions Check: Conduct thorough sanctions checks on clients, brokers, and related parties. Ensure compliance with sanctions regulations and guidelines. Flag any potential sanctions-related issues or concerns to the appropriate teams.
  • Policy Creation & Booking (New Business & Renewal): Record and book new policies and policy renewals based on underwriting instructions. Input relevant data into the policy administration system. Ensure accurate and complete information is included in the policies.
  • Invoicing: Generate and send invoices to clients for premium payments.
  • Policy Wording Preparation: Prepare policy wordings and contractual documents based on underwriting guidelines. Ensure clarity, accuracy, and compliance with regulatory requirements. Collaborate with Underwriters to review and finalize policy wordings.
  • Endorsement (incl. Cancellation): Process policy endorsements, including changes to policy terms, coverage, or limits. Handle policy cancellations and associated administrative tasks. Update policy records and documentation accordingly.
  • Accounts Query Handling: Address and resolve queries related to client accounts, premiums, or payments. Communicate with clients, brokers, or internal teams to provide account-related information. Collaborate with the finance or accounting team to investigate and resolve account discrepancies.
  • Reporting (ICOFR, Unclosed, EPI vs. Booked, etc.): Prepare various reports related to policy administration and financial data, including reports on Internal Control over Financial Reporting (ICOFR), unclosed policies, and EPI vs. Booked Premium. Analyze data, identify trends or anomalies, and present findings to management or relevant stakeholders.

 

You have:

  • 6 months to 1 year of policy management/administration experience in the P&C insurance sector
  • Intermediate level understanding of policy administration life cycle, including information collection, policy issuance, premium bookings, premium collection, and cancellation
  • Good understanding of relevant insurance products, wordings, terms and conditions is a plus
  • Excellent time management skills with the ability to prioritize tasks effectively
  • Intermediate to advanced proficiency in Microsoft Office applications, particularly Excel, and experience with relevant business applications and systems
  • Strong verbal and written communication skills in German language and fluent level of English (able to negotiate)
