Facilities Management Lead (1 year contract)
Oversee Facilities Management services and provide high quality operational support services to all lines of business and the regional offices. To ensure alignment to Global/Regional directives and maximize best practices and processes for efficient implementation and cost-saving benefits.
Facilities Management~crlf~##Oversee the Facilities Management team in handling key support functions like vendor handling, contractual and other administrative requirements.~crlf~##Compilation and formatting of standard operating processes.~crlf~##Support an efficient cost effective procurement process and effectively manage vendors for non-IT commodities services, including premises/facilities.~crlf~##Asset and inventory management.~crlf~ ~crlf~Access Control Management & CCTV systems~crlf~##Maintain a comprehensive record, audit trail and documentation of the various access controls and any related requests from stakeholders.~crlf~##Ensure that records of lost passes, temporary cards, replacement cards, visitor passes are up-to-date and current.~crlf~##Ensure that the security management system is critically maintained and operational 24/7.~crlf~##Where practicable, create a consistent and standardised process and system for the region.~crlf~ ~crlf~Contracts & Vendor Management~crlf~##Manage and monitor vendor performance so that key services/goods are performed/delivered within expectations.~crlf~##Where practicable, leverage suppliers/spend across the region.~crlf~##Define and interpret Service Level Agreements (SLAs) and key performance indicators~crlf~##Keep proper records of all signed contracts and closely monitor expiry and renewals for the region.~crlf~##Maintain an updated master list of suppliers, services and contact information.~crlf~##Ensure regular reviews of vendor contracts.~crlf~##Certification and processing of invoices for shared services.~crlf~ ~crlf~Environmental Reporting~crlf~##Ensure compliance with global team requirements for non-financial reporting.~crlf~##Coordinate monthly data collection and evidence filing for the region.~crlf~Examples of such data include Business Travel, Paper Consumption, Utilities Consumption, Waste and Recycling.Health & Safety~crlf~##Maintain a safe and pleasant work environment for the organization.~crlf~##Ensure adherence to local Health & Safety (H&S) policy.~crlf~ ~crlf~Business Continuity Management (BCM)~crlf~##Align and support regional BCM team in their Business Continuity Plan (BCP) and recovery efforts when emergency events occur.~crlf~##Oversee the Health and Safety requirements, e.g. in a pandemic to ensure that masks, thermometers, hand sanitizers are in adequate supply and to monitor status in the Asia Pacific region (includes embedded offices in region).~crlf~
##Relevant background in Business Administration, Mechanical or~crlf~##Electrical Engineering, Building Services, Estates Management,~crlf~##Facilities Management or related field.~crlf~## Good understanding of best practices in facilities maintenance and outsourcing of facilities services.~crlf~##Able to work independently as well as a team player who can motivate, challenge and encourage the team.~crlf~##Strong leadership, communication, writing and interpersonal skills.~crlf~##Service and team orientated, resourceful, innovative and change-ready.~crlf~##Worked in a high performance customer service environment.~crlf~##6-10 years of experience.~crlf~##Fluent in written and spoken English.~crlf~##Desirable other languages: Malay or Mandarin.~crlf~
