    As department assistant EH Belgium~crlf~'- Serves as the personal assistant for the function(s)/department(s) to which he/she is assigned. Is responsible for the administrative and organisational aspects of the function and thus contributes to the smooth functioning of day-to-day activities. Organises and manages agendas and trips with a high degree of autonomy.~crlf~- Acts as the first high-level and service-oriented internal and external point of contact for the said function(s) or department(s). ~crlf~As department assistant in Allianz SE Representative Office in Brussels ~crlf~The role of the Representative Office is to further strengthen Allianz’s presence in the ‘EU capital’, conveying the Allianz Group’s voice into the policy debate and legislative process leveraging on a deep understanding of key legislative processes and the entire dynamic of political advocacy and consensus building processes.

  • Key Responsibilities

    Supports the function(s)/department to which he/she is assigned~crlf~ - Prepare and handle independently in- and outgoing office correspondence in English and French, and preferably German ~crlf~ - Provides complete administrative support (drafting notes, letters, meeting minutes, etc.) ~crlf~ - Ensures comprehensive and proactive management of the agenda, practical organisation of meetings/phone/video conferences, and travel (trips, etc.).~crlf~ - Order office supplies, claim for travel expenses and handle payment of invoices~crlf~As far as possible, assists the management/department in managing the work load. ~crlf~Assumes responsibility for the quality of the service provided~crlf~ - As regards internal and external clients (communication, point of contact, induction training, assistance to visitors, etc.).~crlf~ - Closely interacts with other functions~crlf~ ~crlf~Manages all internal communications of the department ~crlf~~crlf~Monitors decisions and action plans in order to keep the manager concerned informed of progress

    Market knowledge:~crlf~- Basic know-how regarding market specificities~crlf~- Elementary know-how regarding the products distributed~crlf~Professional expertise:~crlf~- Ability to autonomously organise multi-task and prioritize, work on their own initiative and have excellent communication and interpersonal skills~crlf~- Very strong organizational skills with the ability to work effectively and accurately in an international environment~crlf~- Detailed knowledge of the organisation’s operational functioning ~crlf~- High skill levels in written and oral communication. ~crlf~- Detailed knowledge of Microsoft Office applications~crlf~Inter-personal skills:~crlf~- Ability to collaborate with members from other functions ~crlf~- Team player with excellent interpersonal and intercultural skills~crlf~- Problem solving ability ~crlf~- Respect for confidentiality.
