  • Job Purpose/ Role

    Provide oversight for one or more Software or Hardware Asset Management processes. Focus on managing Assets, IT resources or capabilities that contribute to the delivery of an IT service, examples are: Software, Software License, License Key, Software Contracts, Virtual Server, Physical Server; Network Hardware, Database; Critical Documentation; etc. ~crlf~~crlf~Configuration Management: Provide oversight for one or more Configuration Management processes. Focus on maintaining targeted Configuration Items (Assets) to manage critical information in order to facilitate the ongoing consistent delivery of an IT Service, as supported by other service management processes.~crlf~~crlf~Accountable to the organization for stewardship of assets (Hardware & Software) deemed as having financial value and falling within the control of Information Technology for the purpose of delivering an IT Service. Ensure that assets required to deliver services are properly controlled, and that accurate and reliable information about those assets is available when and where it is needed.

  • Key Responsibilities

    * Adding assets into the asset mgmt tool ~crlf~* First point of contact for SW/HW asset requests, i.e. approvals, research, etc.~crlf~* Daily management of asset tool, asset management budgets, processing renewals and all defined BAU functions~crlf~* Responsible for SW/HW Budget Annual Planning tasks~crlf~* Management of any physical licenses ~crlf~With individual respect to Service Asset and Configuration Management; Facilitate the creation/maintenance of frameworks for all applicable processes and procedures monitor for process compliance and adherence, ensure processes are performing according to the agreed and documented standard; continually review for best practice approach, practices, make suggestions and coordinate process/services improvements as appropriate.~crlf~* With individual respect to Service Asset and Configuration Management; Design, specify, implement detailed service and process measurements and create/maintain applicable reports/dashboards. This information is provided at a variety of levels; operational details, operational dashboard, and governance dashboard. Measurement and evaluation of process performance aligned to Critical Success Factors and Key Performance Indicators, as defined by the process.~crlf~* With individual respect to Service Asset and Configuration Management; Facilitate the day-to-day "request, receipt, identification, management, and withdrawal" of IT managed Service Assets/Configuration Items (Hardware and Software)~crlf~* With individual respect to Service Asset and Configuration Management; Create and maintain accurate inventories and perform regular reconciliations of (a) what is owned against (b) what is actually installed against (c) what is recorded in configuration management system (CMS). Ensure that up-to-date (and historical) records are managed through the collection of key attributes such as; name, status, version, ownership, cost, entitlements, contracts, depreciation, location, product type, and CI to CI relationships. Ensure changes to assets (under management) are done so on the basis of formal approvals in accordance with the Change Management and/or other authoritative processes. ~crlf~* Specific to Service Asset (software), Ensure that there is proper management of budget, and financial approval for ALL new software and renewals are obtained. Ensure that software purchasing arrangements/contracts are negotiated and structured to minimize cost while ensuring control. Legal and financial risk exposure is properly observed and mitigated where appropriate (re: terms and conditions, use without license, proof of license, etc.). Ensure reliable financial information (from procurement to disposal) is available where and when it is needed. ~crlf~* With individual respect to Service Asset and Configuration Management; Monitor all relevant Administrative Tools (i.e. Email, SharePoint, Service Management tool, excel) on a daily basis and execute day to day duties as defined by process; and manage process related issues as they arise. Perform verifications & audits. Provide status accounting reports. Administer the Service Asset and Configuration Management "control" process.~crlf~* With individual respect to Service Asset and Configuration Management; Perform duties in the following areas; Instruction (training), directing, and checking the work of others; managing vendor partners; advising Senior Management on improvements to strategies and techniques; manage projects where appropriate; train staff on processes and procedures; and facilitate external or internal audit requests as needed.~crlf~* With individual respect to Service Asset and Configuration Management; Performs consulting services (as a Project Team member), broker modifications for practices/processes between divergent groups to assure quality service practices~crlf~* With individual respect to Service Asset and Configuration Management; Provide "focal" oversight of any strategic partner support; provides governance of the process and services delivered to end users.

  • Key Requirements/ Skills

    Minimum Requirements:~crlf~* 4-5 years experience required: Technical Competencies: Strong working knowledge of commonly utilized tools (e.g. Service Now, Excel, SharePoint, MS Project, Office Products). ~crlf~* Four-year degree required: In IT related fields of study, or equivalent work experience. 4-7 years of direct or indirect exposure to Service Management service asset & configuration; release, change; incident; and problem management.
