  • Job Purpose/ Role

    Group Privacy servicing the data protection and privacy needs of Allianz SE and Allianz Group. ~crlf~ ~crlf~Reporting to the Group Chief Privacy Officer, you will be part of a small yet diverse team of highly qualified privacy professionals that act as a steering and oversight unit for Allianz companies globally. ~crlf~ ~crlf~You will assist the Group Chief Privacy officer and Group Privacy team in administrative and secretarial tasks and will also assist in providing assistance and support the privacy projects (e.g. Allianz Privacy Renewal Program (APRP), e-privacy).

  • Key Responsibilities

    ##Provide secretarial and administrative support to the Group Chief Privacy Officer and Group Privacy Team; ~crlf~##Participate in the definition and development of a filing system and classification (into DMS, Team space, ORGS, etc) of privacy related records, documents and issues and maintain the files structure up to date, support on the filing if required; ~crlf~##Provide first level support in answering questions, resolving non-complex issues and follow up on pending deliverables with respect to the privacy tool (One Trust) and privacy impact assessment project (PIA); ~crlf~##Grant access rights to information owner into the privacy tool, provide initial information about the use of the tool;~crlf~##Coordinate and follow up with the information owner on pending deliverables, documents, or feedbacks on the record of processing (part 1) and/or privacy impact assessment (part 2) in the privacy tool (One Trust) as flagged; ~crlf~##Be first level of contact with Allianz SE Privacy champions for non-complex questions;~crlf~##Support in day to day logistics such as event organization, meeting booking, travel arrangements, billing, process invoices, etc.;~crlf~##Support the Group Privacy Counsel in the budget preparation and tracking; ~crlf~##Prepare and review simple documents (contracts, letters, presentations, blogs articles, etc.), and arrange formatting and layouts whenever required (e.g. Functional Rules, etc.);~crlf~##Take Minutes of meetings during meetings with various stakeholders whenever required;~crlf~##Identify relevant privacy articles in privacy database, classify and store in accordance with the agreed method; ~crlf~##Assist the Group Privacy team, as assigned;

  • Key Requirements/ Skills

    Qualification~crlf~##Degree, certification or apprenticeship in business, administration, economic, communication, or law.~crlf~##At least 2 years experience as team assistant, paralegal, secretary, or any other position as support function.~crlf~##Good English level (speaking and writing) is a must and strong written and verbal communication skills~crlf~##High level of competence using technology (such as Microsoft Word, Excel, Power Point, DMS, etc.) and is eager to learn more about technology.~crlf~ ~crlf~Experience & Key skills~crlf~##Ability to work independently with little supervision and to seek help when needed;~crlf~##Strong organizational skills and ability to learn quickly;~crlf~##Ability to anticipate support needs of the Group Chief Privacy Officer and Group Privacy across a variety of privacy matters;~crlf~##Excellent at multi-tasking;~crlf~##Ability to interact with people at all level of the corporate structure, and to communicate effectively;~crlf~##Ability to prioritize and handle numerous competing demands, fast-paced working environment~crlf~##Interested in privacy and digital topics~crlf~##Can do attitude
