Personal Assistant to the Workers Council (m/f/d) – part time (limited for 2 years)

As the Personal Assistant to the Workers Council based in Cologne, you provide an efficient and responsive administrative, organisational, and logistical service. You ensure that the manager can focus on strategic matters by processing delegable tasks. You also participates in important projects where involvement of the manager's office is necessary.

In this role you will….~crlf~ ~crlf~##Ensure busy schedule/calendar commitments, documents, and (international) travel arrangements -- flights, hotels, visa, personal bookings -- are managed effectively. This often includes interaction with other senior managers on an international basis as well as urgent last-minute tasks.~crlf~##Filter emails, highlight urgent correspondence, and print attachments. Maintain the manager’s schedule and email account. Content of e-mails, attachments, and calendars are routinely confidential.~crlf~##Represent manager's office regarding (urgent) queries, phone calls and calendar invitations by redirecting or taking forward such contact as appropriate.~crlf~##Liaise with relevant individuals, external organisations etc to arrange meetings, prepare agendas and draft minutes~crlf~##Contribute to / coordinate ad-hoc projects and initiatives for manager's office. ~crlf~##Undertake any other duties as requested by manager~crlf~~crlf~~crlf~

##Completed apprenticeship as office administrator or similar qualification~crlf~##Demonstrable experience (at least 3 years) in an administration/executive assistant/PA role working under tight timelines and requiring tact, judgment and discretion~crlf~##Experience of diary management/researching and booking of travel and accommodation~crlf~##Advanced IT skills (Office applications): Word, Excel, Power Point, Office 365~crlf~##Ideally experience in working at AGCS or the Allianz Group ~crlf~##Knowledge of the Works Constitution Law would be an advantage~crlf~##Clearly and effectively express ideas and messages via speech and writing~crlf~##Effectively express and display thoughts and ideas visually, using various tools~crlf~##Ability to effectively absorb information from various sources, then analyze, study or examine data in detail, and draw appropriate conclusions~crlf~##Ability to filter information, assess priorities and work independently~crlf~##Fluent in English and German~crlf~##Flexibility and willingness to travel~crlf~
